# Email Client Setup (IMAP & SMTP)

> Connect Apple Mail, Outlook, Thunderbird, iOS, and Android to your Mailofly business mailbox.

# Email Client Setup (IMAP & SMTP)

Mailofly Business Mailboxes are 100% compatible with standard desktop, mobile, and web email clients. You can sync your inbox, sent items, and drafts across Apple Mail, Microsoft Outlook, Thunderbird, and smartphone email apps.

## Universal Server Connection Settings

Keep these connection parameters handy when setting up any email application:

### Incoming Mail (IMAP)

* **Server Hostname**: `mail.mailofly.com`
* **Port**: `993`
* **Security / Encryption**: `SSL/TLS`
* **Username**: Your full email address (e.g. `alex@yourdomain.com`)
* **Password**: Your mailbox password
* **Authentication**: Normal Password

### Outgoing Mail (SMTP)

* **Server Hostname**: `mail.mailofly.com`
* **Port**: `587` (STARTTLS) or `465` (SSL/TLS)
* **Security / Encryption**: `STARTTLS` or `SSL/TLS`
* **Username**: Your full email address (e.g. `alex@yourdomain.com`)
* **Password**: Your mailbox password
* **Authentication Required**: Yes (same credentials as incoming)

> Always use `mail.mailofly.com` as the incoming and outgoing server hostname (rather than your custom domain name) to prevent SSL certificate mismatch errors in native mail clients.

## Setup by Client

### 1. Apple Mail (macOS)

1. Open **Mail** on your Mac.
2. In the menu bar, go to **Mail -> Add Account...**.
3. Select **Other Mail Account...** and click **Continue**.
4. Enter your **Name**, **Email Address** (`user@yourdomain.com`), and **Password**. Click **Sign In**.
5. When prompted for server settings:
   * **Account Type**: `IMAP`
   * **Incoming Mail Server**: `mail.mailofly.com`
   * **Outgoing Mail Server**: `mail.mailofly.com`
6. Click **Sign In** and check **Mail**. Click **Done**.

### 2. iPhone & iPad (iOS Mail)

1. Open **Settings** on your iOS device.
2. Tap **Mail -> Accounts -> Add Account**.
3. Tap **Other -> Add Mail Account**.
4. Fill in:
   * **Name**: Your display name
   * **Email**: `user@yourdomain.com`
   * **Password**: Mailbox password
   * **Description**: e.g., Work Email
5. Tap **Next**. Ensure **IMAP** is selected at the top.
6. Under **Incoming Mail Server**:
   * **Host Name**: `mail.mailofly.com`
   * **User Name**: `user@yourdomain.com`
   * **Password**: Your mailbox password
7. Under **Outgoing Mail Server**:
   * **Host Name**: `mail.mailofly.com`
   * **User Name**: `user@yourdomain.com`
   * **Password**: Your mailbox password
8. Tap **Next** and save the account.

### 3. Microsoft Outlook (Windows & Mac)

1. Open Outlook and go to **File -> Add Account** (or **Tools -> Accounts** on macOS).
2. Enter your email address (`user@yourdomain.com`).
3. Check **Let me set up my account manually** (or click **Advanced options**) and click **Connect**.
4. Choose **IMAP**.
5. Enter the server details:
   * **Incoming mail**:
     * Server: `mail.mailofly.com`
     * Port: `993`
     * Encryption method: `SSL/TLS`
   * **Outgoing mail**:
     * Server: `mail.mailofly.com`
     * Port: `587`
     * Encryption method: `STARTTLS` (or Port `465` with `SSL/TLS`)
6. Enter your password and click **Connect**.

### 4. Mozilla Thunderbird

1. Open Thunderbird and click **Account Settings -> Account Actions -> Add Mail Account**.
2. Enter your full name, email address, and mailbox password.
3. Click **Configure manually** at the bottom:
   * **Incoming**:
     * Protocol: `IMAP`
     * Hostname: `mail.mailofly.com`
     * Port: `993`
     * SSL: `SSL/TLS`
     * Authentication: `Normal password`
     * Username: `user@yourdomain.com`
   * **Outgoing**:
     * Hostname: `mail.mailofly.com`
     * Port: `587`
     * SSL: `STARTTLS`
     * Authentication: `Normal password`
     * Username: `user@yourdomain.com`
4. Click **Re-test** and then **Done**.

## Troubleshooting Common Issues

### "Unable to verify account name or password"

* Ensure you are entering your **full email address** (`user@yourdomain.com`) as the username, not just the local prefix (`user`).
* Check if your mailbox is paused by an admin in the dashboard.
* If you recently reset your password, restart your mail app or remove and re-add the account.

### "Cannot connect to outgoing server"

* Many residential and cellular internet service providers block outgoing traffic on port `25` to stop spam bots. Mailofly requires **Port 587 (STARTTLS)** or **Port 465 (SSL/TLS)** for client sending. Never use port 25 in client apps.

### "Certificate Warning"

* If your client alerts you to a hostname mismatch, ensure you typed `mail.mailofly.com` rather than your vanity domain (e.g. `mail.yourdomain.com`). The server's TLS certificate matches `mail.mailofly.com`.
